Requirements

Who can enroll at CEEH?

Students with Spanish or foreign passports, of school age, who are legally residing in Cuba.

The student enrolls at CEEH and in the Spanish Education System through CIDEAD.

Yes. Students coming from Spain are referred to as "matrículas vivas" (live enrollments) because they continue their studies in the Spanish Education System and are automatically placed in the same grade, taking into account their age.

They go through the registration, admission, and enrollment process in the same way as other students. They are only rejected in very exceptional cases.

Yes, they do.

Once the admission requirements are met and if there is overcapacity, a waiting list will be created with the following priority:

  1. Live enrollments (students coming from the Spanish Education System)
  2. Students with Spanish passports
  3. Students with siblings at CEEH
  4. Students with passports from the European Union and/or Latin America
  5. Foreign students from other countries

 

The waiting lists will be resolved, according to the above criteria, by contacting families. The deadlines for resolving the waiting lists are:

  1. In the first week of July, once the process of reserving places for current students and new enrollments is completed.
  2. Until the third week of September, once the incorporation of students in September is confirmed.
  3. In the continuous enrollment process directly, if there are dropouts during the year.

The The office hours for in-person assistance to the public are during the academic year and the first and second week of July. They are as follows:

 Monday, Wednesday, and Friday: 8:00 am to 11:30 am

 Tuesday and Thursday: 2:00 pm to 3:30 pm

  1. The required documents vary depending on the level of education, and you should contact the Secretariat according to the educational level. The mandatory documents to start the process and registration are:

    •     Copy of the student's Passport
    •     Copy of the Passport of Family Members or Guardians of the Student 

    To start the admission process, it is highly recommended that the family sends us a Prior Schooling Report of the Student or provides us with contact information for the last school attended.

     To formalize the enrollment (the last part of the process), we would need:

    •     Birth certificate
    •     Academic certification of the last completed grade

    All documentation can be submitted via email or in person with the original and a copy.

It's a report of their previous schooling (not applicable to some Early Childhood students) where the student's former school sends a brief psycho-pedagogical characterization, endorsed by the Guidance Department of the Center or the student's tutor in the last completed level.

If the former school requires it, we will send you an online form that you must fill out.

There's no problem at all. The admission process adjusts to this situation by adding a series of tests and requesting preliminary information to streamline the process. Before entering CEEH, a mandatory in-person interview will be conducted, but it doesn't necessarily have to delay the process.

You can coordinate with the Secretariat to arrange a visit to any of the locations during the school year. We advise you to visit the Center to get to know our school life and facilities.

CEEH Enrollment

How is the enrollment process?

The enrollment process consists of three phases:

  1. Registration:Express your interest and submit photocopies of passports (student and family members or responsible guardians). We will register you in Phidias CEEH (you will appear as registered).
  2. Admission:Interview and initial requirements. We will inform you if you can enroll (or not) and the level that corresponds to you. If admitted, you will move from pending to active status in Phidias CEEH.
  3. Enrollment Formalization:Payment of Enrollment Fee and securing of place. You are now a student of the Center and have moved from pending to active status in CEEH.

In any case, CEEH reserves the right of admission.

If the Center becomes aware that the applying family has debts with any other school, enrollment will not proceed. 

Only in Pre-College, in Early Childhood, Primary, and Secondary there are no additional procedures.

In Pre-College, it is necessary to obtain the Validation/Recognition of studies from the Ministry of Education and Vocational Training (MEFP). Without this documentation, you may lose your enrollment.

Enrollment is guaranteed once the payment has been made and the CEEH (and CIDEAD) enrollment process has been completed. At that point, the student will be officially enrolled.

You should check with the Secretariat because we have a lot of turnover and very high occupancy in some groups. Remember that until payment is made, enrollment is not guaranteed, and we have selection criteria in case of overcapacity.

It depends on the student's date of birth, the last level completed, and the admission test that will be conducted at CEEH. Additionally, the enrollment requirements at CIDEAD must be verified.

A personalized study of the student is conducted, and CEEH proposes the educational level in the admission process..

In general, with all the levels completed corresponding to their date of birth and for non-Spanish studentssince Spain is a signatory to the Andrés Bello Agreement, CEEH proceeds as follows:

  •     Primary and Secondary School Students: we use the Equivalency Table for Grades
  •     Baccalaureate l: they need to validate their diploma (Secondary or 1st BACH).

Typically, within less than two weeks after the initial interview and admission exams, we notify the family of the outcome of the process. Remember that until the enrollment process is completed (payment and final documentation), the spot is not reserved.

 In the case of groups that have exceeded their capacity, a waiting list will be created in the order of arrival, and enrollment will be assigned using the selection priorities already described.

Usually within 15 days after the interview. In addition to the initial (registration) and final (definitive enrollment) administrative processes, the admission process consists of:

  1. Entrance Academic Tests (Primary/Secondary/Baccalaureate )
  2. Initial Interview: family/student and DOP (Psycho-pedagogical Guidance Department).

 With this information, the Management Team of each educational stage analyzes the information and documents the result of the admission process. The result of the admission process will be:

  1.  Yes
  2.  Yes, with conditions
  3.  No (and we explain the reasons)

 The Secretariat will communicate the result of the admission process to the families to continue with the enrollment process (payment of enrollment and submission of definitive documentation).

The enrollment period is open all year, although immediate incorporation into the course depends on several factors:

Whether it is a live enrollment or not: if they come from the Spanish education system (live enrollment), the student can join at any time during the academic year.

Due to the characteristics of CEEH, there is continuous enrollment throughout the school year if you want to join immediately and if there are spots available in the group. In the case of live enrollments, you can enroll throughout the year because it involves a transfer of enrollment.

En el resto de los casos, que no provienen del Sistema Educativo Español la matriculación depende de las fechas de matriculación ordinaria y extraordinarias establecidas por el CIDEAD que suelen tener lugar entre los meses de julio y septiembre:

  1. In Primary, we accept students until the last day of the first trimester.
  2. In Secondary and Baccalaureate, we accept students until October.

There is a significant difference between the type of enrollment (whether they come from a Spanish center or not) and the timing of enrollment (depending on whether it is the first or second trimester).

All newly enrolled children will have a familiarization period. During this process, the time spent at the Center will be gradual and personalized, taking into account the progress of each child. The family must adhere to the schedule set by the grade tutor for picking up the children until this period is completed.

Yes, there are students who, due to different circumstances, are enrolled in CIDEAD but are not supervised by CEEH. However, these students can participate in the in-person exams with CEEH students.

Yes, there are very exceptional cases where we accept to supervise students who will not have official grades from the Spanish Ministry of Education. That is, they act as "listeners". For example, students with Special Educational Needs (NEE) or students in transition between different academic cycles (from countries with a different calendar than the Spanish one).

CIDEAD Enrollment

What is CIDEAD?

The CIDEAD is the Center for Innovation and Development of Distance Education, belonging to the Spanish Ministry of Education and Vocational Training.

CEEH depends on CIDEAD for Primary, Secondary, and Baccalaureate, but not for Early Childhood Education.

The CIDEAD is the entity that validates and oversees the education provided at CEEH. The enrollment and report cards issued by CEEH serve as a source of information for enrollment and official evaluation, accredited by the Spanish Ministry of Education and Vocational Training (www.mecd.es). Only CIDEAD grades hold administrative validity and are equivalent to those from a school or institute in Spain.In other words, they certify grades within the Spanish Education System.

In Early Childhood Education, the teaching staff conducts a qualitative assessment of the children's learning process. This information is provided to families quarterly.

Yes, the ESO graduate or the Bachiller title is requested from the Spanish Ministry of Education through CIDEAD. It's as if it were a diploma (or a transcript) issued in Spain at a Spanish educational institution.

If you are going to use the document, for example, to enter a university in another country, remember that, for administrative purposes, the degree is issued in Spain (not in Cuba).

Yes. In reality, a double enrollment is done in Primary, Secondary, and baccalaureate. Early Childhood Education is not affiliated with CIDEAD. First, it is done at CEEH and then at CIDEAD (regularly in July and extraordinarily in September, if applicable).

 The CIDEAD enrollment is carried out from the CEEH Secretary's office. The only thing families have to do is sign the Enrollment Form or provide a signature authorization. Once enrolled, the student will have a username and password to access the CIDEAD virtual platform.

In the case of live enrollment, a transfer of records is made.

CIDEAD opens regular enrollment periods according to the level between the dates of July and September. It is recommended to check the calendar on the CIDEAD website as they may vary from one school year to another.

You should not enroll at CIDEAD on your own to avoid double enrollments. CIDEAD enrollment is done at CEEH starting from the 2018/2019 academic year.

Payment

What are the costs of the educational services at CEEH?

The prices for the 2022-2023 academic year are as follows:

  • Enrollment:
  • 2,500 USD 
  • 2,000 USD for the first sibling
  • 1,500 USD for the second sibling 
  • Annual Cost of Educational Services (paid in 3 installments):
  1. Early Childhood Education: 2,880 USD (three payments of 960 USD)
  2. Primary: 3,060 USD (three payments of 1,020 USD)
  3. Secondary: 3,090 USD (three payments of 1,030 USD)
  4. Baccalaureate: 3,150 USD (three payments of 1,050 USD)

 This fee covers the basic educational needs of a student at CEEH. There are additional services such as personalized attention, bookstores, and extracurricular activities that are not included in the tuition fee.

Only on the initial enrollment fee, and they are not cumulative discounts. The most beneficial one for the family will be chosen.

Enrollment fee discounts are:

  • 50% off for Officials affiliated with the Embassy of Spain
  • 50% off for Members of the Association of Spanish Entrepreneurs in Cuba.

Payments can be made in USD or EUR in cash, by bank transfer, by card, or by check at the Secretary's office. If payments are made by card, the corresponding percentage for the costs associated with this transaction, applied to CEEH by the corresponding banking authority, will be added. 

Transfers in EUR will be accounted for in USD at the exchange rate of the day, using the exchange rates established by the Central Bank of Cuba as a reference.

No. The enrollment fee is only paid in the first academic year in which the student is enrolled.

A student who leaves CEEH for more than one academic year and wishes to re-enroll will have to go through the admission process again and pay 10% of the enrollment fee, which is not cumulative with other discounts.

The enrollment fee is paid to secure the reservation of a spot for the academic year.

Educational services are paid per quarter:

  1. Sep/Oct/Nov/Dec: Before October 15th
  2. Jan/Feb/Mar: Before February 15th
  3. Apr/May/Jun: Before May 15th

 

All invoices from CEEH have a due date, after which a late fee applies.

When the due date on the invoice has passed, a surcharge of 0.3% per day is applied to the outstanding amount as a late payment interest. For a debt of 900 USD, this is approximately 3 USD per day of delay and will be reflected in the Phidias CEEH platform (or notified by the Secretary at the time of payment).

The only deposit that is paid is related to the bookstore service for textbooks.

Families who wish may also pay for the entire course in advance.

The CEEH management control system has an online treasury monitoring system that provides information about the student's payment status at any given time.

 If the payment deadline for the invoice expires, the CEEH has a delinquency control protocol that operates as follows:

  1. During the first month of delinquency, the Secretariat will notify the individual of their situation. Once the first 10 days of delinquency pass and a debt of 200 USD accrues, access to Phidias CEEH will be blocked.
  2. During the second month, the CEEH administration will intervene.
  3. During the third month, the corresponding Teaching Management Team will intervene.

The debt payment must include the accrued interest on delinquency..

Before the CIDEAD onsite exams, if there is no payment agreement between the family and CEEH, the following academic and administrative measures will be applied to the family:

Administrative measures include:

  1. The CEEH report will not be sent to CIDEAD.
  2. The official report card will be withheld.
  3. Reservation of a spot for the following academic year will not be accepted.
  4. The student will be prohibited from accessing the CEEH premises until the situation of non-payment is resolved. 

The CEEH's interest is to protect the student from any family situation or force majeure that may prevent both the payment of CEEH services and the student's academic performance.

 In these particular cases, you can request a payment agreement.

Yes, of course. In the Secretary's office, they can do it for you, but you can also do it directly on our Phidias CEEH platform as follows:

  1. Print Invoices: In Treasury / Invoice Plan (select the invoice and click on Print)
  2. Print Payments: In Treasury / Consolidated (view payment history or click on the payment number and print)

This way, you have documentary evidence of your obligations and the payments made. Additionally, we can also issue a certificate of compliance if needed.

If you require these documents to be stamped and signed, you'll need to do it in the Secretary's office. However, if a copy is sufficient for you, you can do it yourself directly.

Yes, specifically the curriculum adjustment defined for the Community of Madrid.

EP

 In Primary Education, promotion to the next grade will be based on the information and criteria of the Evaluation Board and always by current legislation. Students with a negative evaluation in any of the areas will be promoted to the next grade. When an area that was not passed is completed in subsequent years, it will be considered definitively recovered, and this information will be recorded in the different official evaluation documents. Promotion decisions will especially consider the grades obtained in the areas of Spanish Language and Mathematics. If these conditions are not met, the student will remain in the same grade for another year. This measure can only be taken once during the stage.

ESO

 In Secondary Education (ESO), remaining in the same school year is considered an exceptional measure approved by the Evaluation Board of the Cidead. In ESO, a student may remain in the same grade only once and a maximum of twice throughout compulsory education. Additionally, it may be possible to remain in the fourth grade for one more year, even if the maximum period of stay has been exhausted.

Students who have not been able to pass all subjects must take the corresponding assessments for those plans along with those of the grade they have been promoted to.

BACH

In Baccalaureate (BACH), students who have a negative evaluation in some subjects at the end of the second year may enroll in those subjects without retaking the ones they have passed, or they may choose to repeat the entire year.

Languages at CEEH

Is it a bilingual center?

No, CEEH teaches all its classes (except foreign language classes) in Spanish. However, enhancing English language skills is one of the main objectives of the Center. To achieve this, CEEH has created its English strategy ("Speak up!") to promote the use of the English language in all subjects across all educational stages.

The minimum required levels of Spanish language proficiency (We use MCER Levels) are:

  •     BACH. Superior Level C1
  •     ESO. Intermediate Level B2
  •     Primary: School Level A2/B1 (but it's not a requirement for admission)
  •     Early Childhood Education: They incorporate the language naturally

In ESO and BACH, an initial test is administered to all students (regardless of whether Spanish is their mother tongue or not).

There's no problem in the vast majority of cases because CEEH has enough Spanish language teachers and examiners certified by the Cervantes Institute at all DELE (Spanish as a Foreign Language Diploma) levels. Depending on the initial diagnosis in the admission tests, a specialized protocol (ELE Protocol) may or may not be applied.

 This protocol is a service that is regularly used (we have students from over 30 nationalities) and has an extra cost. It requires effort and dedication from the student but is common practice within the institution. 

Yes, of course, and it's recommended for Spanish students between the ages of 11 and 17 to take the DELE A1 and DELE A2/B1 exams of the Common European Framework of Reference for Languages,. which are organized in May and November at CEEH (as an Examination Center of the Cervantes Institute).

Not only does it certify their level in the Spanish language, but it also strengthens their resume for future employment.

CEEH incorporates languages according to the Spanish curriculum system. Specifically, the first foreign language is English and the second is French. In Preschool Education, only English is incorporated.

Additionally, in Primary Education, French is added to the curriculum as an exploratory subject (it is not a CIDEAD curricular subject), and in ESO and BACH, there is the possibility of studying Latin (starting from 4th year of ESO) and/or Greek (starting from 1st year of BACH).

The English language is taught from the preschool stage, and French is mandatory in the 5th and 6th grades of Primary Education in a playful and exploratory manner. Students without previous knowledge of French are admitted upon entering ESO (in 1st year of ESO).

Are there school life regulations?

Yes, it's given upon entering CEEH and it outlines the Center's rules related to school life at each educational stage. It is approved and updated at the CEEH School Council at the beginning of the school year.

Yes, attendance is mandatory. Absences are monitored and families are informed. Absence from class for more than 15% of the school days may result in loss of enrollment..

Tardiness is also recorded as absence, so it's important to respect the schedule for entering the classroom.

No, there is no uniform. There is a dress code regulation that respects the characteristics, identity, and needs of each student while adhering to rules of coexistence, ways of expression, and respect for the Institution and the rest of the classmates. 

The Academic Calendar of the CEEH is published on our website and it includes non-teaching days, academic holidays, trimester exams designed by CIDEAD, general events for each educational stage, and public events of our educational community.

Center Rules Specialized Care Services

Does CEEH accept students with Special Educational Needs (NEE)?

Yes, CEEH follows the inclusive educational model characteristic of the Spanish Educational System, and we have several students with Special Educational Needs (NEE).

We consider all our students special because of the needs they may present throughout their schooling. However, those students who have more specific Special Educational Needs (NEE) must undergo an evaluation process by the DOP (Psycho-pedagogical Guidance Department) and the Center's Management.

Students who require a specific level of support have an intervention agreement managed by the DOP, which coordinates all personalized care services.

CEEH is the only center affiliated with CIDEAD that has students with special needs. Enrollment of a student with special needs in CIDEAD requires explicit approval from CIDEAD.

The Psychopedagogical Guidance Department (DOP) of the Center will evaluate all Special Educational Needs (NEE) presented by the student, and approval will be subject to the specific conditions of each case and the possibilities of access from the curricular and organizational standpoint of the Center. 

Yes, personalized care services have an additional cost depending on the support services required by the student. The calculation is based on the level of attention needed, and each specific case should be consulted.

The reference cost is that of the fee corresponding to the student's educational stage for 100% support time. In the case of other types of partial support, the cost is proportional to the support required by the student.

Any student requiring personalized care is supervised by the Guidance Department, which, in agreement with the family, presents the support plan to be developed at CEEH.

Supervision of students with Special Educational Needs (NEE) is carried out by the Guidance Department (DOP) in coordination with the Teaching Directorate, and it involves supporting teachers according to the needs of each student.

The ultimate goal is for the student to achieve the highest degree of autonomy possible with their cognitive, emotional, and physical resources.

At the cognitive level, we aim for at least completion of Primary Education, and most students are integrated into CIDEAD. For ESO (Secondary Education), it depends a lot on the specific case. The maximum cognitive level of students with NEE that CEEH accepts with 100% support is usually 2nd year of ESO.

From that point on, we propose different alternatives to include them in adult professional life, depending on their levels of dependency.

CEEH Bookstore Service

Are the books mandatory?

Yes, CIDEAD defines a series of textbooks and digital books that are used as educational materials.

Those recommended by CIDEAD for each educational stage and some additional books or materials decided by our teaching staff. But don't forget to check our complete list because we request other educational materials as well. no olvide consultar nuestro listado completo porque pedimos otros materiales educativos.

 There are books from Spanish publishers and digital books published by CIDEAD (PDF documents that are also provided in printed form).

Although you can purchase them on your own, CEEH has a bookstore service where you can obtain the books. If you do it in advance, the price is lower than obtaining them in Spain on your own. el CEEH tiene un servicio de librería donde puede obtener los libros. Yes, of course. As long as you carefully review the list of necessary books for your child. Book orders are made for complete courses; individual orders for single books or workbooks are not accepted. In other words, either CEEH or the family places the order.

The list of required books will be published on our website once we have confirmation from CIDEAD (before June 30 of each school year).

No. Invoicing and payment will be made in the first quarter of the school year.

Other CEEH Services

Does the school have a coffee shop or dining hall?

Yes, there is a dining hall. You can find all the information in the "School Dining Hall" section.

Yes, but students must bring their food. It is simply heated and served. All three campuses have refrigerators and microwaves for students to store and heat their food.

 Baccalaureate students can leave the school premises during lunchtime.

Parents are responsible for dropping off and picking up their children at the established times. Transportation is reserved, in the case of students, for extracurricular and non-curricular outings that are organized.

We have a First Aid Unit (UPA) that currently serves all three campuses. It is a first aid unit that also collaborates with several voluntary medical sessions in the institution (Ophthalmology, Nutrition, Stomatology, and Vaccination).

Yes, for all children at CEEH. Once the school day ends (3:30 p.m.), students can enroll in various extracurricular class options.

Students in ESO (Secondary Education) and Baccalaureate have access to a private locker for an annual cost of 20 USD.

CEEH provides families and students with an integrated management platform (Phidias CEEH) that allows access to academic, administrative, and enrollment status information of the student.

It's an integrated academic management system that provides all the necessary information for personalized monitoring of each student. Its use is not mandatory.

Most Frequently Asked Questions for Active Students

Do I have to confirm if the student will continue next year?

The confirmation is done through a continuity circular in which the family expresses its desire to continue at the Center in the next school year.

With the payment of the enrollment reservation, students and responsible adults must have their identity document (passport or ID card) in their user profile. We also need to know the role of each responsible adult (payment responsible and/or guardian) and who the student lives with (main contact). Every year, when paying the enrollment reservation, the student's profile data is verified.

The use of our Phidias CEEH platform allows for continuous updating of student data and their family members. A specific campaign is carried out at the end of the school year to keep the data updated.
